Filing was never the hard part.

What it does

The jobs a client will never do on time.

None of this appears to them as a menu. They send a message or a photo and Lisa works out which job it is.

Receipts

Photographed and gone. Read, coded, attached, and in the accounts the same day — not sat as a draft waiting for someone to approve it.

The cash that never gets recorded

“took four hundred quid off Mrs Jones” is a sentence, not a document. Lisa takes it as one and the turnover figure stops being wrong.

Voice notes

They're driving, on a roof, or elbow-deep in a boiler. One voice note often carries three jobs and all three get done.

Quarterly readiness

Before a deadline, Lisa checks whether the records are actually complete and tells the client what's outstanding while there's still time to fix it.

Chasing

It looks up who's genuinely overdue, then writes the chase — gentle at a fortnight, firm at ninety days, and never threatening legal action.

Landlords

Each property tracked separately in the client's own Xero, where you'd expect the split to live. And a flat refusal to call net rent taxable profit.

Undo

Wrong figure, sent twice, wrong client — one message and it's gone. Nobody gets told to log into Xero and sort it out themselves.

Mileage and CIS

Journeys at the right HMRC rate, with “and back” counted properly. CIS statements read and logged from a photo.

The reason a third of sole traders still keep records on paper isn't that they haven't found the right app. It's that they won't open one. So Lisa doesn't ask them to.

The ones worth asking.

Does this replace our accounting software?

No — it feeds it. Your clients' books stay in Xero and you carry on filing from there. Lisa is the bit in front of it: the thing that gets the receipt, the cash sale and the mileage out of a client and into Xero, coded, on the day it happens rather than in a carrier bag in January.

What do our clients have to install?

Nothing. Lisa is a WhatsApp number. No app, no login, no password to reset, no training. That matters more than it sounds — a third of sole traders still keep records on paper, and the reason isn't that they haven't found the right app. It's that they won't open one.

Can it change a client's books without anyone knowing?

A paid receipt goes straight in as money out of the bank, which is the point — a draft nobody approves isn't in the figures, so every quarterly total is wrong until somebody does the approving. Sales invoices are different: they're raised as drafts and the client has to reply YES before anything is finalised. And anything Lisa has recorded in the last 60 days can be deleted from the chat in one message.

What about clients who aren't on Xero?

Then Lisa can't help them yet. Everything reads and writes through Xero's API. Other systems are on the list and we'd rather say so plainly than promise a date.

Is it giving our clients tax advice?

No, and it's built to refuse. It gives them information about their own numbers — what's in the bank, what's owed, what a quarter looks like. Where a figure would need judgement it says so and points at you. A landlord asking what tax they owe is told plainly that mortgage interest doesn't work the way they think and that it's a question for their accountant.

What does it cost?

Nothing yet. Lisa is in beta with a small number of practices while we get it right, and we'd rather agree a price with the first few than guess at one. It will be well under what the receipt-capture tools charge, and you'll know the number long before you're asked for it.

Who's behind it?

It was built inside a working accountancy practice, by people who were sick of chasing records, and it's been running on that practice's own clients for months. It isn't a prototype and it isn't a side project by someone who's never done a quarter end.

Where does the data live?

The accounts stay in your client's own Xero — Lisa reads and writes, it doesn't keep a copy of anyone's books. Documents sent in are stored so they can be attached to the right transaction and found again. Nothing is sold and nothing is shared. If Lisa disappeared tomorrow your client's records would be exactly where they already are.
