Privacy Policy — Lisa

Lisa is a WhatsApp-based bookkeeping assistant provided by Whitfield Hanson Accountancy Ltd. Anyone can sign up to use Lisa directly — you don't need to be an existing client of Whitfield Hanson Accountancy to use the service.

What we collect

When you message Lisa via WhatsApp, we collect and store: your phone number, the details you give us during setup (name, business name, trade, email, and answers to a few short questions about your business), the documents or images you send (e.g. receipts, invoices, letters), and the text messages you send to the service.

How we use it

Documents are processed using AI (Anthropic's Claude) to classify the document type and, where relevant, extract details such as supplier name, amount, and VAT. Where you've connected your own Xero account, this data may be used to create draft bills or invoices in Xero, or to answer questions about your live financial position. Nothing is sent to a customer, submitted to HMRC, or finalised in Xero without your explicit confirmation first.

Who can access it

Only Whitfield Hanson Accountancy Ltd and its staff can access your documents and data. Data is not sold or shared with third parties beyond the service providers necessary to operate Lisa (Anthropic for AI processing, Xero for accounting where you've connected it, Twilio for WhatsApp message delivery, Supabase for secure storage, and Render for hosting).

Data retention

Your documents and associated data are retained for as long as you continue using Lisa, and in line with standard UK accounting record-keeping requirements. You can ask us to delete your data at any time by contacting us using the details below.
